Version 26.10.1 is live across AutoPlayAuto.com. You do not need to do anything to get it. Log in and it is there.
The headline is the new Calendar. It replaces the old pop-up with a full screen under Sales Pipeline, and puts every booking, test drive and day of leave in one place. Alongside it, you can duplicate a test drive instead of keying the customer in again. You can also add declarations to the Write Up and keep prospects created by mistake out of your reporting.
Here is what each one changes on the floor.
The Calendar sits under Sales Pipeline in the left menu. You can also open it from the Lead Dashboard, the Contact Dashboard, Lead Detail and Edit Listing. Open it from a lead or a listing and it jumps straight to that record's next booking.
There are four layouts: Day, Week, Month and List. The D, W, M and L keys switch between them. Day view can give each person, each car or each yard its own column. It is the quickest way to see who is free and which cars are already out.
Mine shows your own bookings and Everyone shows the whole floor. Filter by person, booking type, yard or status, and search by customer, stock number, rego or lead number. A booking with no one assigned is marked Nobody yet, so it stands out before the customer arrives.
Drag across an empty part of the grid to create a booking. Drag a booking to move it, or drag its edge to change the end time. In Day view grouped by person, drop it in someone else's column to hand it over.
Times snap to 15 minutes, or to 5 if you hold Alt. Every move saves when you let go, and an Undo appears in case you got it wrong.
Each booking now carries a status: Confirmed, Done, No show or Cancelled. A cancelled booking never counts as a clash, and it is removed from the owner's Outlook or Google calendar.
The Calendar warns you as you drag when a person or a car is already booked. It also warns when someone is booked on a day of leave, or when the time clashes with their Outlook or Google calendar.
Say a consultant drags a 2pm test drive onto a Hilux that is already out from 1:30 to 2:30. The warning shows while the booking is still on the screen, not when the customer is standing in the yard. The warnings never block a save, so the decision stays with whoever is making the booking.
Test drives, prospect activity and leave all sit alongside your bookings. If someone has connected Outlook or Google, their busy time shows as a shaded band. A meeting in their own calendar is visible before anyone books over it.
Three new booking types do not need a lead: Internal meeting, Prep and detail, and Task. Getting a car detailed before a delivery can now go in the same calendar as the delivery itself.
Colleagues' changes appear without a refresh.
A shared calendar is a saved selection of people, booking types and yards. Set one up for the service yard or the used car team, and share it at View, Add, Modify or Admin level. A shared calendar never shows anyone a booking they could not already see.
Saved views are personal. Your filters, layout and grouping are saved under a name you choose.
Access follows the Manage Leads role. Managers can see, move and reassign bookings for their own users in their own yards.
The Calendar is on for every Sales Pipeline account. It comes with a Calendar role that is part of the default set, so you will have it unless someone has turned that role off. If you cannot see it under Sales Pipeline, contact support. The Calendar guide covers every setting.
When a customer wants to drive the Corolla Cross after the RAV4, you no longer key them in twice.
Open the first test drive and choose Duplicate from the 3-dot menu. The new form arrives with the customer, second driver, licence photos, trade-in, finance, declarations and notes already filled in. Pick the next vehicle, check the times and save. Nothing is created until you do.
The vehicle, start and stop times, odometer, fuel and check-out photos all start fresh. The second drive is recorded properly against the second car.
If the customer has already signed the Terms and Conditions, the signatures can be copied too. That only works when the next vehicle uses the same terms. If it uses different terms, the customer signs those.
Duplicate works for test drives, loan vehicles and employee loans. It is not available in the Test Drive Wizard or in Kiosk mode. The duplicate test drive guide lists what carries across and what starts fresh.
The Write Up form now has a Declaration section. It works the same way as declarations on the Test Drive form, and it sits just above the Terms and Conditions.
Use it to record what was covered before the deal went through. Was mechanical breakdown insurance offered? Was paint protection discussed? How many keys went out with the car? An item can be a tick box, a toggle, a date, a number, a dropdown or free text.
Set the items up under Settings, then Sales Pipeline Settings, then Write Up Declarations. Apply an item to every yard or only some. Mark it mandatory and the Write Up will not save until it is answered.
Answers can be dropped into emails with tags, and integrations can read them through the Lead API. Once an item has been answered it cannot be deleted, only made inactive, and every change to it is logged. The Write Up declarations guide has the full setup.
Until now, a prospect created by mistake counted in Analytics Reporting like any other. Prospect outcomes can now be flagged Not For Reporting. Any prospect closed with one of those outcomes is left out of Analytics Reporting across all of your history.
From this release, Loaded in Error is flagged for every dealership, so your historical prospect numbers may drop slightly. Nothing has been deleted. If a flag is removed, those prospects come back on the next refresh.
The Prospect Outcome chart and the Prospect and CRM Follow Ups chart and table also get a Prospect Outcome filter. Outcomes can now belong to a single dealership or dealer group as well as the standard set. AutoPlay maintains the list, so contact support to add an outcome or have one flagged.
One thing to know before month-end: only Analytics Reporting changes. Scheduled and manual exports still include flagged prospects, so an export and a widget can show different numbers. The prospect outcome guide lists every chart affected.
A long list of improvements and fixes went out alongside those four. The ones most likely to matter to you:
26.10.1 is the next step in the shift that started with 26.7.1. If you are already running AutoPlay, all of this is waiting for you the next time you log in.
If you are not on AutoPlay yet and you want to see any of it working, book a demo.
